Personal Training Terms & Conditions​

  • ​Our Personal Trainers are committed to helping you reach your health and wellbeing goals. If you have any questions about your Personal Training Client Agreement, or any concerns regarding Personal Training, please don’t hesitate to contact the Manager in charge of Personal Training directly.

 

Block Payments

  • You must pay for your Personal Training by purchasing Personal Training blocks, payment must be made at the front desk or online, in advance of any Personal Training sessions taking place.
     

  • Personal Training blocks of 6 can only be purchased as a taster once per client. After your initial block of 6 has been completed, only blocks of 10 can be booked in future.
     

  • Once per week Personal Training blocks of 10 need to be fully used within 90 days. Twice per week blocks of 10 need to be fully used in 60 days.Your initial block of 6 needs to be fully used within 60 days of purchase. After these allotted times, any remaining sessions will be forfeited.
     

  • Training time/s to be agreed between trainer and client at the beginning of all new blocks of training. That slot/s will be convenient for trainer & client and kept for entire training block.
    ​

  • No CASH to be given to personal trainers we are a CASHLESS business.

Cancellations 

  • If you need to cancel a session that you have booked, you must give us 24 hours cancellation notice. Failure to do so will result in you being charged the full session rate.
     

  • If, for any reason, we need to cancel your appointment within 24 hours, your next session will be provided free of charge.
     

  • *Any classes can be cancelled 6 hours before class through our website*

Refunds

  • If you are unable to continue your Personal Training sessions due to medical reasons, a refund may be available for any remaining sessions. You will need to provide us with evidence (i.e. a letter from your doctor) explaining that you are unable to continue for medical reasons including a time frame of this restriction prior to a refund being given. Refunds cannot be provided under any other circumstances.
     

  • If your Personal Trainer is on holiday or otherwise absent, please contact the Manager in charge of Personal Training and you will be allocated temporary replacement Personal Trainer for the duration of their absence. Personal Training sessions must still be used within their normal validity period during any such absence. We are unable to refund you for any unused sessions during any such absence.
     

  • If your Personal Trainer leaves the company, the Manager in charge of Personal Training will allocate you another Personal Trainer, and will supply them with your complete training history. Refunds will not be provided under these circumstances.

Late Arrivals 
  • If your Personal Trainer is more than 10 minutes late for your session, you will receive one free Personal Training session, arranged at a mutually convenient time for you and your Personal Trainer.
     

  • If you’re late for your session, your session length will be reduced accordingly, and you will be charged at the normal session rate.
     

  • If you’re more than 20 minutes late, the session may be cancelled, and you will be charged for the full session at the normal session rate.

Trainers
  • If you would like to change Personal Trainer for any reason, please contact the Manager in charge of Personal Training and she/he will be happy to assist you.
     

  • Should you experience any pain, discomfort, or injury during any of your sessions, please inform your Personal Trainer immediately who will ensure appropriate action is taken.
     

  • Prior to, or during, the course of your Personal Training, health concerns may arise that may require further input from your doctor, physiotherapist, or other allied health care professional. If such concerns arise, you should consult an appropriate health professional before continuing your Personal Training sessions.
     

  • Please be aware that your Personal Trainers are not health care professionals and cannot diagnose and/or prescribe treatment for any form of injury, disease, or other medical problem.


Cancellation Policy

  • We understand that sometimes "life happens" and you have to cancel an appointment. As our clients, we hope that you understand our schedules at The Movement Place are very tight. We feel that we have a very fair cancellation policy that allows the client to give proper notice and not be penalised for the cancellation.

Please Read The Following Cancellation Policy Carefully

  • Clients must cancel out of a class or personal training session with at least 24 hours notice.
     

  • If you cancel within the 24-hour time period of the start time of the class/session, you will be charged for that class/session.
     

  • Each client will have one free "no show" per package purchased, meaning they can cancel late and not be penalised.
     

  • All class cancellations must be done via email/website  at: info@themovementplace.co.uk  or telephone: +44 (0) 1582 818111 or private Facebook page.
     

  • PT session cancellations need to be done by contacting the main reception (number above) or your personal trainer directly.

Refund Policy

  • Once a payment is made for a package, bootcamp or personal training session from The Movement Place there will be no refunds allowed. At The Movement Place we believe in progress not excuses.

Personal Training / Group Training Cancellation Contract

  • I understand that The Movement Place operates on a scheduled hourly appointment basis for private training sessions. Therefore, when cancelling an appointment, I am required to provide more than 24-hour notice, for which no additional charge shall be incurred.
     

  • However, if I cancel a session LESS than 24 hours to the scheduled time, I shall be charged in full for that training session.  I understand that I’m entitled to a one-time cancellation fee waiver, whereby I can cancel a session in less than 24-hours, at no additional charge.
     

  • Should my personal trainer cancel a session with less than 24-hour prior notice, I shall be entitled to one free session upon rescheduling. I understand that the free session must be redeemed within 7 days of cancelling the previous one or shall be forfeited.
     

  • However, should my personal trainer cancel a session with more than 24-hour notice, I shall be entitled to no free session, but the training session shall be rescheduled within 7 days to ensure consistency and progress in my fitness program.

​Waiver

  • I hereby state that I am fit and well and know no reason medical or otherwise why I cannot participate in the activities The Movement Place provide.  I state that I wish to participate in The Movement Place activities which may involve gymnasium exercise, resistance and aerobic both inside and outside the gymnasium. I realise that participation in these activities involves the risk of injury and even the possibility of death.  Furthermore, I hereby confirm that I am voluntarily engaging in an acceptable level of exercise given my knowledge of my health and taking into account any medical advice I have received.

Luton Ice Bath Personal Liability Statement & Health Certificate

 

  • Luton Ice Bath and Function Physiotherapy will see to it that all ice bath activities are carried out safely and correctly. However, We cannot assess the health risks particular to individual participants.

 

  • The contraindications for participation in the Ice Bathing are:

    • Pregnancy

    • Epilepsy

    • Secondary Raynaud's Syndrome

    • Serious Heart Conditions
       

  • However, all participants assume personal responsibility and are advised to consult their personal physician should they be suffering with any serious health condition or in any doubt as to their physical ability to take part.
     

  • The participant ultimately decides whether they are fit to take part and this is true for the ice bath & advised breathing techniques.
     

  • Anyone with open wounds will also not be able to partake in the ice bath, but may practice the breathing technique. Any breathing techniques learned during the ice bath training should be practised in a safe place, and NEVER practised in water.
     

  • *** Anyone displaying symptoms of COVID-19 may not participate in the ice bath & must follow governmental guidelines when agreeing to take part ***

 

PERSONAL LIABILITY STATEMENT

 

  • “I hereby declare that I participate in the Luton Ice Bath experience on (Blank), voluntarily and entirely at my own risk.  I shall not hold Luton Ice Bath/Function Physiotherapy liable for any damages and/or injury resulting from participation in the Ice Bath Experience.”

 

HEALTH DECLARATION

 

  • “I hereby declare that I have been adequately informed about the particulars of the Luton Ice Bath activity beforehand and that I am in good physical and mental condition. I shall not hold Luton Ice Bath/Function Physiotherapy liable for any damages and/or injury resulting from participation in the Luton Ice Bath experience.”
     

“My participation is entirely at my own risk."

 

  • “I consent to photographs being taken during the ice bath and used on various social media platforms unless instructed not to.”
